$73,000 - $85,000 Annual Salary - Pay based on applicable experience and qualifications
POSITION OVERVIEW
The People Operations Generalist will provide essential administrative and operational support to the Human Resources department, ensuring the smooth execution of HR processes, compliance adherence, and employee support initiatives. This role will focus on new hire processes, HR systems management, data accuracy, safety initiatives, and addressing employee inquiries while actively contributing to the efficiency and scalability of HR operations.
This is a hybrid position, based on current MidPen policy of working Tuesdays and Thursdays in the Foster City. Monday, Wednesday and Friday, option to work from home or the office. When working from home, requires a reliable internet connection.
ESSENTIAL DUTIES
New Hire Support/Employee Changes:
- Manages onboarding processes, including the preparation and distribution of new hire documentation
- Verifies employment eligibility and completes I-9 verification in compliance with federal regulations
- Ensures accurate and timely filing of all required paperwork, maintaining compliance with company and legal standards
- Coordinates and processes all employee transfers, promotions, title, salary, and employment status changes
- Tracks and follows up on new hire completion of required onboarding tasks, such as training modules and benefit enrollments
- Offboarding, communications, exit documents, access, system updates and direct report assignments
- Process onsite housing, license agreements
Employee and Workplace Support:
- Acts as the first point of contact for general employee inquiries related to HR policies, benefits, payroll, and systems access
- Escalates complex issues to appropriate HR team members and ensures timely resolution.
- Assists with safety-related initiatives, including coordinating training sessions and preparing compliance materials
- Supports workplace injury documentation, reporting, and follow-up, ensuring alignment with OSHA and company standards
- Maintains communication and provides follow-up on workers’ compensation claims to employees, managers, and insurance providers
HR Administrative Tasks:
- Maintains organized and compliant employee records, including digital and physical filing systems
- Process updates to employee data, including address changes, benefit elections, tax documentation, and direct deposit information
- Prepares accurate reports for audits, compliance checks, and management reviews, ensuring all data is up to date
- Monitors completion and documentation of mandatory employee training programs, such as harassment prevention and safety compliance
HRIS & ADP Administration:
- Updates employee data in HRIS and ADP systems with speed and accuracy, ensuring compliance with data integrity standards
- Generates custom reports for audits, compliance reviews, and management decision-making
- Troubleshoots basic system issues, escalating technical problems to system administrators when necessary
- Supports system optimization initiatives, including testing new features and assisting with system training for employees and managers
Compliance & Record Keeping:
- Organizes and maintains digital HR files, including I-9 forms, employment agreements, and performance documentation, ensuring readiness for audits
- Assists in tracking compliance deadlines and updating employee records to reflect completed actions
- Remains knowledgeable of employment law developments to effectively address compliance obligations
- Supports HR-led initiatives like employee policy acknowledgment forms, and data audits
Employee Engagement Support:
- Assists with planning and logistics for employee engagement activities, including celebrations, recognition events, and others
- Collaborates with Office Management to ensure smooth execution of workplace events and culture-building activities
Expanded Administrative Responsibilities:
- Manages HR document templates, ensuring they are accurate, up to date, and aligned with company branding
- Coordinates logistics for meetings, including scheduling, preparing materials, and taking minutes as required
- Supports the automation of HR workflows by assisting with testing and rollout of new digital tools
- Monitors HR inboxes and direct incoming inquiries to the appropriate team members or provide solutions when possible
- Assists with processing and coding HR-related invoices for payment, ensuring accurate records and timely submissions
- Supports leave of absence (LOA) administration, including documentation, tracking, and communication with employees and managers
- Acts as a backup for payroll and benefits reconciliation tasks monthly and or team member absences
- Performs other duties as assigned
QUALIFICATIONS
Education and Experience
- Bachelor’s degree in human resources, Business Administration, or a related field and a minimum of 2+ years of experience in an HR support role with demonstrated knowledge of HR processes and compliance requirements or an equivalent combination of education and relevant experience
- Experience with I-9 verification and employment eligibility documentation
- Hands-on experience with HRIS systems, ADP, or similar platforms is highly preferred
- Prior experience in an administrative or HR support role preferred
Knowledge, Skills, and Abilities
- Foundational understanding of HR principles, practices, and compliance requirements
- Exceptional organizational skills to manage onboarding workflows and checklists
- Familiarity with workplace safety regulations and OSHA requirements is a plus
- Capability to process incident reports and support workers’ compensation claims
- Ability to ensure data accuracy and generate standard and custom reports
- Demonstrated ability to provide professional, responsive, and empathetic employee support
- Effective communication skills for explaining HR policies and processes
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and HR technology
- Willingness to adapt to and learn new HR systems and tools
- Detail-oriented with strong organizational and time management abilities
- Excellent verbal and written communication skills
- Capability to handle sensitive information with discretion and maintain confidentiality
- Must possess a valid California Driver’s License, proof of current auto insurance, and reliable transportation
