PAY RANGE

$100,000 - $120,000 Annual Salary - Pay based on applicable experience and qualifications

POSITION OVERVIEW

As an Office Manager at MidPen Housing, you will play a vital role in supporting our mission to provide safe, affordable, high-quality housing to those most in need. Based in our East Bay office and overseeing operations across all three of our Bay Area locations, you will ensure our workplace environment is efficient, welcoming, and equipped to help our teams do their best work.

This is a strategic, hands-on role where you will lead office planning, vendor and facilities coordination, process development, and administrative staff supervision. You will collaborate across departments to create scalable systems and proactive solutions that align with our long-term operational needs. ESSENTIAL DUTIES

Office Strategy and Planning

  • Participate in strategic planning for office space, usage, design, and future growth across all offices, working closely with development and senior leadership
  • Contributes to the creation of strategies and operational plans that scale office infrastructure and services in alignment with organizational growth

Operations and Vendor Management

  • Ensures compliance with records retention and space usage policies, working with IT as needed on digital documentation practices
  • Overseas incoming and outgoing mail, packages, and deliveries to maintain smooth office operations across all sites
  • Manages contracts and relationships with office-related vendors across all locations to ensure service quality and cost effectiveness
  • Maintains centralized control of office inventory and equipment to ensure employees have the resources they need to work effectively
  • Oversee accurate processing of vendor invoices and service bills to ensure timely payment and financial compliance
  • Drives and coordinates cross-location office projects such as renovations, reconfigurations, and relocation initiatives

Employee Enablement and Experience

  • Supports new hire onboarding coordination, inter-office transfers, workspace setup, and day-to-day tools and services that enable employee success
  • Creates and refine standardized office management processes for use across all locations. Manage workflows for space moves, resource requests, and vendor performance
  • Supports an inclusive and professional office environment that reflects the organization’s values and creates a positive experience for employees and visitors

Team Leadership and Cross-Functional Collaboration

  • Collaborates with teams including IT, HR, and Accounting to ensure alignment among office management, employee needs, and broader business goals
  • Directly lead and supervise office management staff, including assigning responsibilities, setting goals, providing coaching and development, and conducting performance evaluations

QUALIFICATIONS

To perform this job successfully, an individual must be able to perform each essential function satisfactorily. The requirements listed below are representative of the education, knowledge, skill, and/or ability required.

Education and Experience

  • Bachelor's degree preferred
  • 5+ years of experience in office management, facilities coordination, or operations, including at least 2 years in a strategic or supervisory capacity
  • Demonstrated success managing multi-site operations or supporting satellite offices
  • Proven experience in office planning and process optimization
  • Strong vendor management, contract negotiation, and inventory control experience including experience in negotiating and managing contracts and agreements with third parties, especially large and complex ones
  • Demonstrated experience partnering with leadership in mission-driven organizations strongly preferred

Knowledge, Skills, and Abilities

  • Effective communication and interpersonal skills, with the ability to lead through influence and collaboration across all functions and levels of MidPen
  • A demonstrated commitment to delivering and managing the highest levels of stakeholder satisfaction
  • Ability to analyze issues, troubleshoot operational challenges, and make sound decisions in a multi-site environment
  • Proactive and organized, with the ability to effectively prioritize competing demands
  • Ability to think strategically while maintaining attention to operational detail
  • Strong project management skills with the ability to lead cross-functional initiatives
  • Strong process and analytical skills to monitor and measure performance and compliance of vendors or suppliers
  • Ability to work independently and make informed decisions in a dynamic environment
  • Ability to work collaboratively with multiple functions and understand their objectives and requirements, internally and externally
  • Proficiency in Microsoft Office Suite
  • Ability to handle sensitive information with discretion and maintain confidentiality
  • Must possess a valid California Driver’s License, proof of current auto insurance, and reliable transportation

Physical Requirements

  • Ability to travel among MidPen offices and properties
  • Constantly perform desk-based computer tasks
  • Frequently sitting
  • Occasionally stand/walk; reach/work above shoulders; perform light or fine manipulation; grasp forcefully; use a telephone; sort and file paperwork; and lift, carry, push, or pull objects weighing up to 25 pounds
