PAY RANGE

$27.89 - $31.26 Hourly - Pay based on applicable experience and qualifications

POSITION OVERVIEW

The Talent Acquisition Coordinator reports directly to the Director of Talent Acquisition and supports the Director of Talent Acquisition and the Senior Talent Acquisition Specialist. The Talent Acquisition Coordinator plays a vital role in supporting the recruitment process, ensuring a seamless experience for candidates and hiring teams. This position is responsible for administrative and operational tasks related to the hiring process, including job postings, scheduling interviews, managing applicant tracking systems, and supporting employer branding initiatives. The ideal candidate thrives in a fast-paced environment, is highly organized, and is passionate about attracting top talent.

Hybrid Position: In office 2 days a week

This is a hybrid position, based on current MidPen policy of working Tuesdays and Thursdays in the Foster City Office. Mon, Wed and Fri, option to work from home or the office. When working from home, requires a reliable internet connection.

ESSENTIAL DUTIES

  • Assists hiring managers with updating and creating job descriptions; including researching requirements and compensation information
  • Creates an effective advertising program strategy with hiring managers to source, attract and retain new hires
  • Conducts weekly check-in meetings with hiring managers as needed or requested by management
  • Ensures prospective talent is provided with a superior candidate experience and positive impression of MidPen
  • Coordinates phone screens, onsite and virtual interviews for candidates, as requested
  • Manages and advertises job postings
  • Creates and administers appropriate assessments
  • Organize and execute logistics for job fairs and recruitment events, including vendor communication, shipping materials, and setup
  • Assist with pre-employment background checks, reference verifications, and onboarding paperwork
  • Assist in preparing and sending offer letters to candidates
  • Coordinate with the HR team to ensure smooth onboarding for new hires (e.g., paperwork, orientation, equipment setup)
  • Completes employment verifications, ensures application process is followed and completed correctly
  • Negotiates and delivers all employment offers to the finalist once references are completed
  • Communicates important employment information during delivery of employment offers (compensation, background check information, benefits, housing agreements (if applicable), etc.)
  • Communicate with candidates regarding application status and interview logistics
  • Represent the organization at career fairs, community events, and other networking opportunities as needed
  • Proposes and supports implementation of ongoing improvements to the recruitment process
  • Manages requisitions and applicants in designated Applicant Tracking System (ATS)
  • Establishes relationship as the point of contact with area employment agencies and advertising agencies
  • Partners with external agencies to support temporary needs for the entire organization, including bills rates, maintaining weekly reports, and ensures compliance with company employment standards
  • Creates ad hoc recruitment reports to assist inform budget decisions for recruitment resources and overall hiring trends with Director, Talent Acquisition
  • Collaborates with other Talent Acquisition Specialists, the Human Resources Team, and cross-functional Management Teams
  • Organize and maintain recruitment documentation, including job descriptions, interview guides, and candidate records
  • Order supplies, swag, and materials for job fairs and ensure proper inventory is maintained.
  • Performs other duties as required

QUALIFICATIONS

To perform this job successfully, an individual must be able to perform each essential function satisfactorily. The requirements listed below are representative of the education, knowledge, skill, and/or ability required.

Education and Experience

  • BA degree and two (2) years of relevant experience or an equivalent combination of education and relevant experience

Knowledge, Skills, and Abilities

  • Familiarity with social media, resume databases, and professional networks
  • Provides hiring managers and candidates the highest level of customer service experience
  • Proven experience using an Applicant Tracking System (ATS)
  • Experience with personnel files, background checks, and employment reference checks
  • Demonstrated computer skills utilizing Microsoft Office (Outlook, Excel, Word, and PowerPoint)
  • Familiarity with HRIS systems (Human Resources Information Systems) and Validated Testing Software
  • Ability to cultivate and build relationships
  • Strong candidate sourcing and social media research skills; ability to stay current on trends and emerging technologies
  • Excellent organizational and time management skills
  • Ability to multitask, prioritize daily workload, and meet tight deadlines
  • High attention to detail and commitment to maintaining confidentiality
  • Excellent verbal and written communication skills
  • Familiarity with recruitment metrics and reporting is a plus

  • Must possess a valid California driver’s license, reliable transportation, and proof of current auto insurance policy

Physical Requirements

  • Constantly perform desk-based computer tasks, frequently sitting
  • Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 15 pounds
  • Rarely twist/bend/stoop/squat, kneel/crawl
